Ink By Jen G: https://www.inkbyjeng.com/blog/dynamic-kanban-board-in-your-bullet-journal Go follow Claire and Jen, if you aren't already, because they are amazing! So what is a Kanban Board anyway? At the most basic level, Kanban Boards allow you to visualize and map your workflow for projects. The Kanban technique was first established by Toyota in the 1940s (Kanban is Japanese for "sign" or "billboard") and began with physical cards passed down the stream of manufacturing from one line worker to another. The system is highly customizable and allows teams or individuals full freedom in creating a board that works for them and the types of projects they work on. All you have to do is figure out which steps are universal to all of your projects and lay those steps out in a notebook or on a whiteboard. The simplest versions I've seen have three categories, Plan / Process / Complete (or To Do / Doing / Done). I decided to add one more category and ended up with To Do / Plan / Progress / Implement, as these are the steps relevant to the types of projects I tackle at work. The fun part is that you can split up your project into however many and whatever types of categories you like! Once you have your board set up all you need to do is write each project on it's own sticky note and place it on the board at the appropriate step in the process and move them as they progress to the next step. This is a very effective tool for visual learners and can be very helpful is you have multiple projects on the go at a time or work with a team! When you start to say no more often and only take on real projects that you’re truly passionate about, it’s much easier to be effective, enthusiastic and excellent. 2. Know your best role: There’s a big difference between being an individual contributor to a project and being the person responsible for the project. Be honest with yourself: Are you good at managing projects? Is it your natural ability? If not, be a contributor, not a manager. 3. Have a clear outcome: Be absolutely clear about what the completed project looks like. What’s the end game? What metrics measure success? What does the impact of the completed project look like? Having clarity about the vision you’re after will ensure you avoid getting distracted or derailed. 4. Put a calendar in place: A schedule isn’t enough. To be effective you have to plan the deadlines, steps, completion dates, and people managing the project in detail. It’s easy to get distracted without a clear purpose and deadlines, so put milestones in place and keep moving towards them. 5. Focus on distinction, excellence, and service: To do a project well, ask yourself: “How can I do this project uniquely and differently? How do we wow people with excellence? Yeah that’s operations. No Well, the difference between a project and operations is fairly simple. A project ends. So, it’s temporary. You implement your project, you close it, you create a unique product/service/ or whatever outcome you wanted then you are done. Whereas in operations, it’s on-going and repetitive. You may have also heard about the terms program and portfolio. Let me just quickly explain them here. Program is multiple projects put together. Combined. And Portfolio is similarly. Multiple programs put together. So, it’s project, program, portfolio. Now before I go further, and dive deep. You need to understand something crucial. To run any project, you need 2 methodologies. The first one is a project life cycle and the second one is project management process. Most people confuse these 2. And if these are not clear, you can kiss the PMP certification goodbye. It’s absolutely amazing how many content creators in YouTube confuse these two. They are not interchangeable. You cannot afford to confuse a project life cycle with a project management process. Don’t worry I am going to make it very simple for you. Let’s start with Project Life Cycle. Project Life Cycle is unique to a project, to an industry, to your needs. It’s highly customizable. Think of it like this; a human development is a project. So, your life cycle is; 1) Conceiving 2) Birth 3) Childhood 4) Teenage hood. Teenage hood. Is that a word? Teenaging? 5) Adulthood 6) And death Easy stuff right? So, now if it was an IT project. I had no clue what that meant... but the stakes were clear, and I couldn’t lose this project. I hadn’t worked in 2 months and if I failed, it meant moving back in with my parents. In this week’s video I share the journey of how I went from a newbie leader on the verge of being forced onto my mother’s couch… … to someone who successfully managed a multi-million dollar project for 2 years. There's a rival company who's also targeting the European market called Tutti Fruity - and they'll do anything to steal our customers. Anna Oh I see. Paul So, to keep our head above water, we need a clear strategy… and that's why I've put you in charge. So what shall we do? Narrator I've a feeling Paul hasn't a clue – that's why he wants you to come up with the ideas. Anna I think you're right – but I don't know what to say. Narrator Tell him we need to price the rivals out of the market, that means offer the lowest prices so nobody wants to buy plastic fruit from our rivals. You could say that we need to corner the market, that means Tip Top Trading dominates the plastic fruit market. Anna Oh, thanks. That's very useful. Paul So Anna, any thoughts? Anna Lots Paul. how to manage small projects? understanding project management basics and fundamentals. What is 'Project Management'? Project management involves planning and organization of a company's resources to move a specific task, event, or duty towards completion. It typically involves a one-time project rather than an ongoing activity, and resources managed include personnel, finances, technology, and intellectual property. A project manager helps to define the goals and objectives of the project and determines when the various project components are to be completed and by whom; s/he also creates quality control checks to ensure completed components meet a certain standard. Generally speaking, the project management process includes the following stages: planning, initiation, execution, monitoring, and closing. Different industries have also developed specialized project management templates that are specific to the unique needs of their respective fields. The templates make project planning efficient and easily repeatable from one set of deliverables to the next. For example, IT project management specializes in facilitating the process of delivering technical products that pass through several life-cycle stages including development, testing, and deployment. What Does a Project Manager Do? For many people, the title of project manager does not really mean much. It may seem like a fluffy title for sitting and supervising. While supervision is one important part of the job, a lot more goes into project management than just watching everyone work. Project management is often associated with fields in engineering and construction and, more lately, health care and information technology (IT), which typically have a complex set of components that have to be completed and assembled in a set fashion to create a functioning product. But no matter what the industry is, the project manager tends to have roughly the same job. A Project Manager Plans: From start to finish, every project needs a plan that outlines how things will get off the ground, how they will be built and how they will finish. For example, in architecture, the plan starts with an idea, progresses to drawings and moves on to blueprint drafting, with thousands of little pieces coming together between each step. The architect is just one person providing one piece of the puzzle. The project manager puts it all together. A Project Manager Facilitates: When there is a large team working on a single project, communication can quickly break down. This especially holds true when some parts of the job are outsourced. For instance, if you want to start a company that sells widgets online, you need to build a website, get your marketing tools together, talk to suppliers, find a sales crew and have someone in charge of shipping. As a small business, you would not have all of that done in-house, so you act as the project manager to bring all the pieces of the crew together and facilitate cooperation and collaboration. (For more, read How Agile Project Management Works.) A Project Manager Does PR: Public relations (PR) is a huge part of any business. It’s not enough to only make sure that the company has a favorable view in the eyes of the public; internal public relations aims to ensure that the head of the company knows what is going on and holds a favorable view of the department. The project manager is in charge of making sure that the higher-ups are kept in the loop and know what is taking place. A Project Manager Closes: Every project has a budget and a time frame. Blow either of those, and the whole project may be lost. The project manager makes sure to keep everything moving smoothly, on time and on budget. That means when the planned time frame is coming to an end, the manager can keep all the team members working on the project to finish on schedule.
