ZACH DE GREGORIO, CPA www.WolvesAndFinance.com Business Analysis is a growing field that is becoming more and more important. The primary reason for this is that today there is an enormous amount of data. There is so much data that we have trouble understanding it all. So in recent years there has been a growing emphasis on analysis. Business analysis is a set of tools and techniques to evaluate data and improve business systems. This is actually a skill you can develop in your business that can create tremendous value. I want to expand on this definition so you understand how this fits into the context of accounting. You can break accounting into three areas: Process, Reports, Analysis. 1. Process deals with the basic accounting tasks. For example, when you purchase something there is a process to create a Purchase Order and send payment. 2. Reports take the data from your accounting processes and summarizes the data. Your financial statements is a report of all the accounting processes during that period. 3. Analysis is used to interpret and communicate information from reports. Analysis takes your financial statement, determines what it means, and uses that information for strategic decisions. There are a couple of useful things to understand here. Each item builds on the previous item. You cannot perform analysis without reports, and you cannot have reports without good processes. Different businesses are going to need to focus on different things. You might need to focus on getting good accounting processes in place. Once you have good processes, you can focus on reports. Once you have reports, you can start building the skillset for analysis. If you are in accounting, developing a skill in analysis will be very helpful in your career, because it is so valuable for a business. Let me explain what is happening on a practical level. If you are running an organization, you spend a lot of time solving problems. If your employees are operating at the process level, where they are only focused on executing a process, whenever something happens that does not fit the process, it becomes a problem. The employee then sends the problem up to the boss to solve. This eats up a lot of time, because then the boss ends up spending a lot of time solving problems, when they should be spending their time performing higher level activities like setting the direction of the business. The ideal situation is for employees to bring the boss solutions, but that requires analysis. Imagine if all your employees, not only performed the process, but also generated reports and performed analysis on how to improve the business. Instead of bringing the boss problems, they would bring solutions, and all the boss has to do is sign their approval. That is why analysis is incredibly valuable and can supercharge a business and your career. Transcript: What is a BA? The BA is both a position, a business analysis position, or a job function. An actual work function that folks do, specifically SDLC professionals. Whether you're a tester, product manager, project manager or a developer there are business analysis responsibilities that you have if there isn't a BA on the specific project. At a very very high level, a BA is a great translator. They translate business needs into technical requirements. They make sure those technical requirements match the goals of the business and create value very quickly. Think about it from a product manager perspective. A product manager focuses on external products -- products that go to market. They're looking at quality, ROI and needs. A BA is very similar except that they're looking at internal solutions, services and systems. They're looking at quality, ROI and value from the internal systems. Their customers are the business professionals within the business. Whereas a product managers customers are those external people buying a solution. As you dig into BA position more, you have to think about requirements. A requirement. is a protocol, rule, or specific engagement point that should happen for something to work right. The language has to be very specific as well. It's about details and being specific. So a business requirement is a high level, detailed understanding of what is supposed to be accomplished. From there you have functional requirements. One of the functional requirements would be from a person to a system in order to make that business requirement to happen. You might have a new CRM system and the salesperson needs to engage that CRM system differently in order to achieve that business requirement. That's a functional requirement. A human being engaging with a system to make a specific outcome happen. Finally you have a system requirement. A system requirement, or a non-functional requirement, is a system-to-system situation where a computer or a database or a network is communication back and forth. You can understand the need for precision there in order for that execution to occur. Next you have to start thinking about "why". Why is this important? First off is competitive advantage. The commoditization of IT means that IT is everywhere, it's ubiquitous. So it's not the plumbing that's important, it's the services on top of that plumbing which are critical. The BA drives those services into organizations and ensures those services are built correctly so that a company can achieve competitive advantage from the commoditized plumbing that already exists. Second, it's all about outsourcing. Outsourcing saves organizations money, but to what detriment. The BA helps control the externality that outsourcing provides the organization by controlling the cultural issues, time frame issues and language barriers that outsourcing causes. As you start thinking about the BA position you have to start thinking about standardizations and scaling. The IIBA, the International Institute of Business Analysis, is the standard body for the BA position. It offers a body of knowledge, which is currently in the 2.0 version, moving to 3.0 by the end of 2013, and has scaled internationally to have hundreds of chapters where BAs can work together locally to continue to build out the value and importance of that job position.
